How to Use This Time Duration Calculator

This calculator has two modes — a quick time-only mode and a full date+time mode for multi-day durations. Here is how to use each:

Mode 1: Same-Day or Overnight Time (default)

Select your start time (hours, minutes, seconds) and end time using the dropdowns. Click the clock icon next to each row to pre-fill the current time. Click Calculate Duration. If the end time is earlier than the start time (overnight shift), the calculator automatically adds 24 hours so the result reflects the correct overnight span.

Example: Start 08:30:00 → End 17:15:00 → Result: 8 hours, 45 minutes, 0 seconds (8.75 decimal hours)

Mode 2: Duration Between Two Dates (Date Selection enabled)

Toggle Enable Date Selection. Date fields appear for both start and end. Enter the dates and times, then click Calculate Duration. Use this for multi-day durations such as project spans, vacation lengths, or billing periods.

Example: Start March 15, 2026 09:00:00 → End March 18, 2026 17:00:00 → Result: 3 days, 8 hours, 0 minutes

Understanding Your Results

HH:MM:SS Display

The primary result shows duration in HH:MM:SS format (e.g., 08:45:00). This is the most precise representation and matches the format used by time cards and scheduling software.

Total Minutes / Seconds

The breakdown also shows the full duration converted to total minutes or seconds. 8 hours 45 minutes = 525 total minutes = 31,500 total seconds. Useful for scientific, engineering, or programming contexts.

Decimal Hours

Decimal hours convert minutes to a fraction of an hour: 8h 45min = 8.75. This format is required for payroll calculations. Multiply decimal hours by your hourly rate to get pay: 8.75 × $20/hr = $175.00.

How Overnight Shifts Are Handled

When your end time is before your start time, the calculator adds 24 hours to the end time automatically. A shift from 22:00 (10:00 PM) to 06:00 (6:00 AM) = 8 hours exactly. This logic works for any overnight or cross-midnight shift without any extra steps from you.

The Formula Explained

Duration = End Time − Start Time (in seconds)

Convert both times to seconds-since-midnight: Time (s) = (hours × 3600) + (minutes × 60) + seconds

Worked Example 1: Standard Work Shift

Problem: An employee clocks in at 8:30 AM and clocks out at 5:15 PM. What is the total time worked and what are the decimal hours for payroll?

  • Start: 08:30:00 → seconds = (8 × 3600) + (30 × 60) = 30,600 seconds
  • End: 17:15:00 → seconds = (17 × 3600) + (15 × 60) = 62,100 seconds
  • Difference = 62,100 − 30,600 = 31,500 seconds
  • = 8 hours, 45 minutes, 0 seconds
  • Decimal hours = 8 + (45/60) = 8.75 hours
  • At $18/hr: 8.75 × $18 = $157.50 gross pay

Worked Example 2: Overnight Shift (Night Nurse)

Problem: A nurse works a night shift from 10:45 PM to 7:00 AM. What is the total shift duration?

  • Start: 22:45:00 → seconds = (22 × 3600) + (45 × 60) = 81,900 seconds
  • End: 07:00:00 → seconds = (7 × 3600) = 25,200 seconds
  • Since end < start, add 86,400 (24 hours): 25,200 + 86,400 = 111,600
  • Difference = 111,600 − 81,900 = 29,700 seconds
  • = 8 hours, 15 minutes, 0 seconds (8.25 decimal hours)

Decimal Hours = Hours + (Minutes ÷ 60) + (Seconds ÷ 3600)

Enter each shift's start and end times. Note the decimal hours result. For 5 shifts of 8.75, 7.5, 8.0, 9.25, and 8.5 hours: sum = 42.0 decimal hours. At $15/hr: 42.0 × $15 = $630. If your company uses a 40-hour standard, 2.0 hours over = overtime.

Freelance Billing

Freelancers commonly bill by the quarter-hour (0.25 decimal hours). A task that takes 1 hour 10 minutes = 1.17 decimal hours. Round up to 1.25 (1h 15m) for billable time. Track multiple tasks, sum the decimal hours, and multiply by your hourly rate for your client invoice.

Travel & Flight Duration

Enter your departure time and arrival time to find the total travel time. A flight departing 07:45 and arriving 15:20 is 7 hours 35 minutes. For international travel where arrival is the next day, use Date Selection mode. Enable dates, enter the departure date and arrival date separately.

Project & Task Tracking

Log when you start and finish each task. For a software sprint that ran Monday 9:00 AM to Friday 6:00 PM, use Date Selection mode. Enter the start and end dates and times to get the full elapsed time. Divide total hours by 8 to find equivalent work days for reporting.

Fitness & Workout Timing

Start a workout at 6:15 AM and finish at 7:02 AM — that's 47 minutes. Over a week you logged 5 sessions: 47, 52, 38, 60, and 45 minutes. Total = 242 minutes = 4 hours 2 minutes of training. Use the total minutes output for easy addition across sessions.

Manufacturing & Shift Reporting

A production shift runs 06:00 to 14:30 (8.5 hours). Track machine uptime by entering operation start and end times. For a machine that ran 06:15 to 13:45 = 7.5 hours. Downtime = 8.5 − 7.5 = 1 hour. Calculate OEE (Overall Equipment Effectiveness) by dividing uptime by total shift time.
